Banquets and events form a critical segment of the food and beverage industry, especially in Kenya’s vibrant hospitality sector. Professionals in this field must master the art of delivering seamless service that meets diverse client expectations, ranging from corporate functions at county government offices to weddings in upscale hotels. Effective banquet service procedures ensure customer satisfaction, operational efficiency, and enhanced reputation for establishments. This chapter focuses on the detailed steps and professional standards required to execute banquet service procedures successfully.

3.1 Banquet Service Procedure

The banquet service procedure is the planned sequence of tasks the service team follows on the day of a function, from the final briefing through welcoming and seating the guests to serving each course in the agreed order. Because all guests are served the same menu at the same time, the team works to signals from the banqueting supervisor so that every table starts and finishes each course together. A clear procedure keeps the function to the client's programme, avoids confusion among a large and often casual team, and gives guests a calm, well-organised experience. Example: at a county women's empowerment forum dinner at a lodge in Loitokitok, 24 waiters serve 240 guests in four courses within ninety minutes by following the supervisor's signals for each course.

Welcoming the guests

Welcoming the guests is the first contact between the establishment and the guests, and it sets the tone for the whole function. Guests should feel expected and valued from the moment they arrive.

  • Be ready before arrival: The room, bar and reception area are fully set, and staff are in position in correct uniform at least 15 minutes before the stated arrival time.
  • Greet promptly and warmly: Greet guests with a smile and eye contact, using a suitable greeting for the time of day, such as "Good evening, welcome to the dinner".
  • Receive the host: The banqueting manager or supervisor greets the host or the client's representative personally and confirms any last changes.
  • Check invitations or registration: Where required, guests are checked against the guest list or shown to the registration desk, politely and quickly.
  • Offer a welcome drink: At receptions and weddings, waiters offer welcome drinks or juice from trays as guests arrive.
  • Take care of belongings: Guests are directed to the cloakroom or shown where to place gifts, and assisted with heavy items.
  • Give directions: Guests are shown to the reception area, washrooms and the seating plan.
  • Welcome guests with special needs: Elderly guests, guests with disabilities and VIPs are met and escorted, and ramps or lifts are pointed out.

Seating the guests

Seating the guests is the process of guiding guests from the reception area to their places in the dining room so that the meal can start on time. At banquets, seating usually follows a seating plan agreed with the client.

  • Display the seating plan: A table plan showing each guest's table is displayed at the entrance, with table numbers clearly visible in the room.
  • Call guests to the table: The master of ceremonies or the supervisor announces that dinner is served and invites guests into the dining room.
  • Escort guests: Waiters at the entrance and in their stations guide guests to their tables, especially VIPs and guests who are unsure.
  • Seat the head table: The head table guests are usually seated last, entering together after the other guests are seated, often while guests stand.
  • Assist with chairs: Waiters pull out chairs for guests, starting with ladies, elderly guests and guests of honour, and help them sit comfortably.
  • Place the napkin: Once guests are seated, waiters may unfold napkins and place them on guests' laps, from the guest's right.
  • Deal with changes: Guests without a place are given a seat at a reserve table, and the supervisor updates the numbers.
  • Confirm special meals: Waiters check with the guests at their tables who has ordered a special meal and inform the kitchen.

Order of banquet service

Once guests are seated, the function follows a set order, adapted to the menu and the programme on the function sheet. Example: a tea estate's management dinner at a club in Keringet follows this order with a prayer before the meal and speeches after the main course.

  1. Final briefing: The supervisor briefs staff on the menu, running order, station allocation, special meals and signals, and inspects uniforms.
  2. Pour water and bread: Water glasses are filled and bread rolls served once guests are seated, or just before.
  3. Opening formalities: Wait for grace, welcome remarks or the opening of the programme before serving.
  4. Serve the head table first: Each course is served to the head table first, then to the other tables on the supervisor's signal.
  5. Serve each course together: Waiters serve their station tables course by course, using the agreed style of service, and serve wine before the food it accompanies.
  6. Clear on signal: Plates are cleared only when all guests at a table have finished and the supervisor gives the signal.
  7. Pause for speeches: Service stops during speeches and toasts, and glasses are filled before a toast is announced.
  8. Serve dessert, tea and coffee: Followed by petits fours or mints if included.
  9. See guests off: Thank guests as they leave and help them with belongings.

Rules for staff during service

  • Work quietly: Move calmly and avoid noise from crockery and talking among staff.
  • Stay in station: Remain in your section, watching your tables for guests who need attention.
  • Follow hygiene rules: Handle food, glasses and cutlery hygienically and wash hands after clearing.
  • Communicate problems: Report complaints, accidents and shortages to the supervisor at once.
  • Respect the programme: Never serve or clear during prayers, speeches or presentations.
