📚 5 Topics
⚑ What you will be able to do

By the end of this chapter, you will be able to:

  • Clean bar surfaces and equipment thoroughly and safely following the correct cleaning procedures.
  • Prepare an accurate bar sales summary sheet by following the proper service steps.
  • Restock bar beverages correctly according to workplace procedures.
  • Dispose of bar waste safely and responsibly following workplace policies.

These skills will help you maintain a clean, organized, and efficient bar environment, which is essential for great service and customer satisfaction in the hospitality trade.

Bar closing activities are a critical component of bar keeping operations, ensuring the establishment maintains accurate records, secures stock, and prepares for the next business day. In Kenyan hospitality and service sectors, such as county government offices hosting events or hotels managing bar services, thorough closing procedures prevent financial losses and uphold service standards. These activities also support compliance with regulatory requirements and promote accountability among staff. This chapter explores the key processes involved in closing a bar, focusing on stock management and sales reconciliation.

4.1 Bar Closing Procedures

Bar closing procedures are the set steps carried out at the end of trading to stop service within licensed hours, account for all stock and cash, leave the bar clean and secure, and prepare it for the next opening. Under the Alcoholic Drinks Control Act 2010 and county alcohol laws, alcohol may only be sold within the hours stated on the licence, so last orders are called in good time and guests are asked politely to finish and leave. Closing is done by the same staff who traded during the shift, so that they account for what they sold, and the closing figures become the next shift's opening stock.

Example: a bar in Donholm calls last orders 30 minutes before its licensed closing time, stops serving at closing time, and the barman and head barman then count stock together before cashing up.

Steps in closing the bar

  1. Call last orders: Announce last orders politely, in good time before the licensed closing time.
  2. Stop service: Stop serving at closing time, clear glasses from tables and ask guests to leave courteously.
  3. Take closing stock: Count and record all stock (4.1.1).
  4. Reconcile sales: Cash up and reconcile bills and payments with sales (4.2).
  5. Clean: Clean equipment, tools and surfaces and dispose of waste (4.3 to 4.5).
  6. Secure: Lock stock, cash and the premises and complete the handover.

4.1.1 Bar Closing Stock

Bar closing stock is the physical count of every item left in the bar at the end of the shift, recorded on the closing stock checklist. It shows how much was used during the shift, which is compared with the sales recorded, and it tells the head barman what must be requisitioned before the next opening. The count is made after service has stopped, by the outgoing barman with the head barman or the incoming barman, and both sign the sheet.

Details in the checklist

The closing stock checklist uses the same lines and order as the opening checklist (see 1.6.1), so that the two can be compared item by item. Each line carries the details below.

Number of drinks

The quantity of each item left, counted in its unit of issue: full bottles, cans, cases and, for open spirit bottles, tenths of a bottle or tots. Open bottles are measured by eye against a ruler or by weighing, in the same way every time.

Bin number

The shelf or bin code where the item is kept, matching the bin card and the cellar ledger. Counting in bin number order ensures every location is checked and nothing is missed.

Closing stock

The quantity of each item physically present at the end of the shift. It is entered in ink and becomes the opening stock of the next shift; the two figures must agree, and any difference is reported.

Received stock

The quantity of each item issued to the bar during the shift by requisition or transfer, entered from the signed requisition or transfer notes, so that the usage calculation includes everything the bar received.

Inventory usage

Inventory usage is the analysis of how stock moved during the shift. It is worked out from the figures above and covers the following.

Total stock

The quantity available for sale during the shift:

Total stock = Opening stock + Received stock

Example: 30 bottles opening + 12 bottles received = 42 bottles.

Stock level

The closing quantity compared with the bar's par stock (the set quantity the bar should hold at opening). A level well below par shows the item is selling fast or short; a level well above par may show slow-moving stock that ties up money.

Consumption

The quantity used during the shift:

Consumption = Total stock − Closing stock

Example: 42 bottles − 17 bottles = 25 bottles consumed. Consumption is valued at selling price and compared with the sales recorded; any difference is a shortage or surplus to investigate.

Waste and spoilage

Stock lost through breakage, spillage, spoilt or flat beer, spoilt cut fruit and similar causes. It is recorded in the ullage book with the reason and the supervisor's signature, and deducted from consumption before comparing with sales, so that genuine losses are not mistaken for theft.

Restock needed

The quantity of each item to be requisitioned to bring the bar back to par stock for the next shift:

Restock needed = Par stock − Closing stock

Example: par 36 − closing 17 = 19 bottles to requisition. The requisition is prepared and authorised at the close so that stock can be issued before the next opening.

Securing the bar premises

  • Lock stock: Lock spirit shelves, fridges, cabinets and the store.
  • Secure cash: Bank or lock away takings in the safe after cashing up; keep the float as agreed.
  • Switch off: Turn off equipment not needed overnight, leaving fridges and ice makers running.
  • Lock entry points: Close and lock doors, windows and shutters, and set the alarm where fitted.
  • Lighting: Leave security lighting on.

Documentation and handover

  • Closing checklist: Complete and sign the closing checklist.
  • Report to the supervisor: Hand over keys, the stock sheet, the requisition and the cash report.
  • Record incidents: Note any incident, such as a refused guest, a breakage or a faulty machine, in the bar log.
