Data and information are foundational elements in all professional fields, including healthcare, business, hospitality, agriculture, and public administration. In Kenya, organizations such as county referral hospitals, banks, and county government offices increasingly rely on accurate data and timely information to make decisions, improve service delivery, and maintain competitiveness. Understanding the distinction between data and information and their effective management is critical for diploma-level TVET students preparing for diverse workplace environments. This chapter explores the meaning of data and information and their importance and uses across various Kenyan sectors.

3.1 Meaning of Data and Information

Data and information are often used interchangeably, but they represent different concepts essential to digital literacy and professional practice. Clarifying their meaning helps professionals capture, process, and utilize digital resources effectively in any workplace.

3.1.1 Definition of Data

Data refers to raw, unprocessed facts and figures collected from various sources. These can be numbers, text, images, sounds, or symbols that on their own do not convey meaning. For example, in a retail business, daily sales numbers recorded at the cash register represent data. Without analysis, these numbers are simply disconnected values lacking context.

3.1.2 Definition of Information

Information is data that has been processed, organized, or structured to provide meaning and context. It supports decision-making and communication within organizations. For instance, a monthly sales report summarizing daily sales data with trends and comparisons transforms data into information that helps managers at a county government office plan budgets effectively.

3.1.3 Relationship Between Data and Information

Data is the input that, when processed, becomes information. Information is the output that supports knowledge creation and action. In a hospital setting, patient vital signs (data) are recorded and analyzed to generate a health status report (information) that guides treatment decisions.

3.1.4 Characteristics of Data and Information

  • Data is raw and unorganized, requiring processing to be meaningful, whereas information is organized and structured.
  • Data can be qualitative or quantitative, such as text descriptions or numerical values, while information usually combines both for clarity.
  • Data requires validation for accuracy, while information depends on the quality and relevance of the processed data.
  • Data is neutral and does not imply decisions, but information supports interpretation and informed decisions.
  • Data volume can be large and complex, whereas information is usually concise and targeted to specific needs.

3.1.5 Examples from Kenyan Sectors

In agriculture, raw data such as rainfall measurements and soil pH levels collected by a cooperative are converted into information reports to advise farmers on planting seasons. In education, student attendance records (data) are analyzed to produce reports on absenteeism trends for school administrators.
