Chapter 7: Apply job entry techniques
📚 4 Topics
⚑ What you will be able to do

By the end of this chapter, you will be able to:

  • search for job opportunities that match your skills and strengths
  • create a winning resume or CV that is tailored to a specific job advertisement
  • write a clear and effective application or cover letter that matches the job requirements
  • organize your certificates and testimonials neatly to support your resume
  • demonstrate strong interview skills that are relevant to the job you are applying for

Mastering these skills will help you confidently apply for jobs and stand out to employers in your chosen field.

This chapter focuses on critical job entry techniques that enable professionals across all sectors to present themselves effectively to potential employers. Mastery of job application letters is essential for securing interviews and advancing careers in Kenya’s competitive job market. Whether applying for roles in county government offices, banks, hospitals, or hospitality businesses, understanding how to craft a compelling job application letter is a foundational skill for diploma level TVET students.

7.4 Job Application Letter

A job application letter is a formal document sent to an employer expressing interest in a specific job vacancy. It supplements the CV by providing a personalized narrative of the candidate’s qualifications, motivation, and suitability for the role. In Kenya, employers at institutions such as Nairobi County Referral Hospital and Equity Bank expect well-structured letters that demonstrate professionalism and clear communication skills.

7.4.1 What to Include

A job application letter must contain key elements that collectively communicate the applicant’s qualifications and enthusiasm for the position. Each section plays a role in persuading the employer to consider the candidate for an interview.

Contact Information and Date

The applicant’s full name, address, phone number, and email should be clearly stated at the top of the letter. This ensures the employer can easily reach the candidate. The date of writing is also included to provide context for the application timeline. For example, a candidate applying to a county government office in Kisumu includes these details to facilitate prompt communication.

Employer’s Details

The letter must address the specific employer or department, including the organization’s name and physical address. This shows the applicant has researched the company and is serious about the position. When applying to a hotel such as Serena Nairobi, addressing the letter to the Human Resources Manager by name, if known, is considered professional.

Opening Paragraph: Purpose and Job Reference

The first paragraph should state the purpose of the letter, specifying the job title and reference number if available. It is important to mention how the applicant learned about the vacancy, such as through the Daily Nation or the organization’s website. A candidate applying to a retail business in Nakuru might mention seeing the job advertised on the company’s social media page.

Body Paragraphs: Qualifications and Experience

These paragraphs explain why the applicant is suitable for the job. Highlight relevant education, skills, and work experience that match the job requirements. For example, a graduate applying to a cooperative society in Meru would emphasize experience in financial management and customer service. This section should also demonstrate knowledge of the organization’s goals and how the applicant can contribute.

Closing Paragraph: Call to Action and Gratitude

The letter should end with a polite request for an interview and a statement of appreciation for the employer’s time and consideration. This leaves a positive impression and encourages further communication. A candidate applying to a university administrative role may express eagerness to discuss how their skills align with the institution’s mission.

Practice Questions

  1. Identify and explain five essential components that must be included in a job application letter. (10 marks)
  2. Discuss how tailoring the body paragraphs of a job application letter to the specific job improves the chances of success. (10 marks)

7.4.2 Addressing a Cover Letter

The way a cover letter is addressed reflects the applicant’s professionalism and attention to detail. Proper addressing ensures the letter reaches the intended recipient and creates a positive first impression.

Formal Salutations and Titles

Using appropriate salutations such as “Dear Sir/Madam,” or “Dear Human Resources Manager” is standard practice when the recipient’s name is unknown. When the name is known, addressing the letter as “Dear Mr. Mwangi” or “Dear Ms. Achieng” adds a personal touch that can engage the reader more effectively. For instance, an applicant to a SACCO in Kisii would benefit from addressing the letter to the branch manager by name.

Researching the Recipient’s Name

Investing time in finding the correct name of the hiring manager or head of department demonstrates initiative and respect. This can be done through the company’s website, LinkedIn, or by contacting the organization directly. A candidate applying to a county government office in Eldoret who addresses the letter personally stands out for their diligence.

Avoiding Generic Greetings

Generic greetings such as “To Whom It May Concern” are best avoided because they suggest the letter is not personalized. Instead, use specific titles or department names, for example, “Dear Recruitment Committee” if the exact person is unknown. This approach is suitable for applications to large institutions like the Kenya Revenue Authority (KRA).

Proper Formatting of Address

The recipient’s details should be placed below the sender’s contact information and date, aligned to the left margin. This includes the full name, job title, organization, and address. For example, an application to a Nairobi-based retail company would include the store manager’s details formatted clearly to ensure proper delivery.

Practice Questions

  1. Explain the importance of addressing a cover letter to a specific individual rather than using a generic salutation. (10 marks)
  2. Describe four methods an applicant can use to find the correct recipient’s name for a job application letter. (10 marks)

7.4.3 Signing Off a Cover Letter

The closing of a cover letter is the final opportunity to reinforce professionalism and leave a lasting positive impression on the employer.

Appropriate Closing Phrases

Common professional sign-offs include “Yours sincerely” when the recipient’s name is known, and “Yours faithfully” when it is not. These endings are widely accepted in Kenyan business correspondence and convey respect and formality. An applicant to a county hospital in Nakuru would use “Yours sincerely” if addressing a known HR officer.

Including the Signature

After the closing phrase, the applicant should leave space for a handwritten signature above their typed name. This adds authenticity and a personal touch to the letter. For digital applications to organizations such as a university in Kisumu, a scanned signature can be inserted to maintain professionalism.

Typed Name and Contact Details

Under the signature, the applicant’s full name is typed, followed by contact information if not already included at the top. This repetition ensures the employer can easily identify and reach the candidate. For example, a job seeker applying to a hotel in Mombasa would benefit from clear contact details for follow-up.

Optional Enclosures Notation

If additional documents such as a CV or certificates are included, the applicant should note this at the bottom of the letter with “Enclosure: Curriculum Vitae” or similar. This alerts the employer to review all submitted materials. Candidates applying to a cooperative society in Thika often attach such documents to strengthen their application.

Practice Questions

  1. Differentiate between the use of “Yours sincerely” and “Yours faithfully” in the context of signing off a cover letter. (10 marks)
  2. Outline the proper placement and components of a signature section in a job application letter. (10 marks)
