📚 10 Topics
⚑ What you will be able to do

By the end of this chapter, you will be able to:

  • identify and use office internet services correctly, following established office procedures
  • choose the right internet access applications for different tasks, in line with office operation procedures
  • perform accurate internet searches to find information that meets job requirements
  • safely download online digital content, following your workplace's requirements
  • correctly identify and back up digital content, ensuring you follow workplace procedures

Mastering these skills will help you handle digital information confidently and efficiently in any modern workplace.

Data and information management is a foundational skill across all professional fields in Kenya's evolving digital economy. Whether in healthcare facilities such as county referral hospitals, educational institutions like universities and TVET colleges, financial institutions including banks and SACCOs, or government offices, the ability to accurately handle data and transform it into meaningful information enhances decision-making and operational efficiency. This chapter explores the fundamental concepts of data and information and their critical roles in the workplace, equipping students with the knowledge to manage these resources effectively.

3.1 Meaning of Data and Information

Understanding the distinction between data and information is essential for professionals in any sector. Data refers to raw facts and figures collected from various sources, while information is data that has been processed, organized, or structured to provide meaning and context. This difference underpins how organizations make decisions, communicate, and deliver services effectively.

3.1.1 Definition of Data

Data consists of unprocessed symbols, numbers, text, images, or sounds that represent observations or measurements. It lacks context or interpretation until it is analyzed or organized. For example, a retail store’s daily sales numbers and inventory counts are data points collected continuously but require further processing to be useful.

3.1.2 Definition of Information

Information is data that has been processed and presented in a form that is meaningful and useful for decision-making. It provides context, relevance, and purpose. For instance, a monthly sales report showing trends and comparisons over time transforms raw sales data into information that managers at a county government office can use to allocate budgets effectively.

3.1.3 Differences Between Data and Information

While data is raw and unorganized, information is processed and structured. Data alone may be overwhelming or meaningless, but when processed into information, it supports understanding and action. For example, patient vital signs recorded in a hospital are data; when summarized in a health status report, they become information guiding treatment decisions.

3.1.4 Types of Data

Data can be classified into several types depending on its nature and format:

Quantitative Data

Numerical data representing measurable quantities such as revenue figures or temperature readings.

Qualitative Data

Descriptive data that captures characteristics or qualities, such as customer feedback or employee satisfaction comments.

Structured Data

Organized data stored in fixed fields within databases, like customer contact details in a SACCO’s database.

Unstructured Data

Data lacking a predefined format, including emails, videos, and social media posts.

Semi-structured Data

Data that does not conform strictly to tables but has some organizational properties, such as XML or JSON files used in online banking systems.

3.1.5 Characteristics of Information

Information possesses specific attributes that enhance its usefulness:

Accuracy

Information must be correct and free from errors to support reliable decisions.

Relevance

It should be applicable to the needs of the user or task at hand.

Timeliness

Information must be available when needed to influence decisions.

Completeness

All necessary details should be included to avoid misinterpretation.

Understandability

Information should be clear and presented in a format that users can easily comprehend.
