Record keeping is a fundamental aspect of managing any professional enterprise across Kenya's diverse sectors. Whether in a county hospital tracking patient data, a cooperative society managing member contributions, or a retail business monitoring sales, establishing an effective record keeping system ensures information is accurate, accessible, and secure. This chapter explores foundational concepts and practical reasons why maintaining proper records is indispensable for operational efficiency, accountability, and compliance in all professional fields.

1.1 Definition of Terms

Understanding key terminology related to record keeping provides a solid base for developing and managing record systems. The terms define the scope, nature, and purpose of records within professional environments such as universities, banks, and government offices.

1.1.1 Records

Records are documented evidence of business transactions, decisions, or activities created and maintained to provide information about an organization’s operations. For instance, a county government office maintains records of procurement contracts to ensure transparency and audit readiness.

1.1.2 Record Keeping

Record keeping is the systematic process of creating, organizing, storing, and maintaining records throughout their lifecycle. In a hotel, this includes maintaining guest registration logs, billing details, and inventory records to support service delivery and financial management.

1.1.3 Record Management System

A record management system refers to the set of policies, procedures, and tools used to control the creation, receipt, maintenance, use, and disposition of records. For example, a SACCO uses an electronic record management system to track member savings and loan transactions securely and efficiently.

1.1.4 Document Control

Document control involves regulating the flow of documents within and outside an organization to ensure accuracy, confidentiality, and timely access. In a university, document control ensures that student transcripts and examination records are authentic and protected against unauthorized changes.

1.1.5 Archiving

Archiving is the process of transferring inactive but valuable records to a secure storage for long-term preservation. A retail business archives past financial statements and tax returns to comply with Kenya Revenue Authority (KRA) requirements while freeing up active storage space.
